To delegate means to assign responsibility or authority to another person. Good delegation will save you time, allow you to concentrate on those tasks that can only be done by you, develop your subordinates and motivate other staff.

I. Why delegate?
In every business there is work which needs to be done by you as the business owner which is the best use of your time. The best use of your time will translate into producing the greatest results for the business in the shortest possible time. When your time is not being used in that way the business will struggle or perhaps be stalled. The objective of delegation therefore is to allocate to someone else those tasks which don’t provide a maximum return on your time.
II. When to Delegate
If you are under time pressure make some time to analyze all the things you are doing. If necessary keep a time log for a couple of days, or longer if your work is varied. Look at all the details, whatever it is, not just the main tasks. Mark those which you think can be done by someone else, those which you would like to get rid of (but don’t necessarily know how at this stage), and those which must be done by you.
III. Who to Delegate to
Identify the most likely person to do the tasks which you want to delegate. Ask yourself whether they are capable of doing the work, and whether they have spare capacity, or whether you can move some of their work to someone else. It may be a chance to carry out a more general reorganization of a number of functions and gain further efficiencies. Delegation is not just a matter of telling someone else what to do. It is a case of allowing the other person to develop, and gain greater freedom. The more experienced and reliable the other person is the greater the freedom they can receive. Remember that your reputation or that of the business may depend on the tasks you are delegating. Talk to the person you wish to delegate to and see if they are happy with the concept.
IV. How to Delegate
Before implementing any proposed delegation there are a further number of points to consider. The task or tasks must be very clearly defined so that there will be no confusion. Communication is very important. You need to have a very clear picture of the desired outcome, and you must explain the reasons for the delegation. You must explain to the other person what outcome is expected, and how that will be assessed or measured. Discuss and agree any extra resources which may be required to complete the task or tasks. It must be made clear to the person what deadlines are associated with the task or tasks. You must accept that you are delegating authority at the same time as delegating the task. Make sure that everyone knows that the work has been delegated to the person it has.
